Access the Notes Register screen via Main > Notes Register. From this screen notes for any client can be entered, reviewed, edited or deleted. The screen is divided into three sections:

Note Entry Section

Enter a person (anyone listed in ‘People & Firms’ in Ardex) and type the note details into the yellow box, then click ‘Add’ to save the note. You can set the note date, note type, add a subject, link the note to a horse and set a follow-up date for the note if you wish (all optional).

If you double-click an existing note in the lower part of the screen the note displays for updating. You can modify the note details, and tick ‘Completed’ at far right if the matter is resolved, then click ‘Update’ at bottom left to save your changes.

At top right tick ‘Show only my notes’ to limit the view of notes in the lower part of screen to notes created by you. At top left change the View By option to view notes for a month, or all notes in the database.

Notes Display Section

All notes entered for the date selected will display here. Change the ‘View By’ option at top left of screen to view all notes for a month, or view all notes in the database (no date restrictions).

Right click a note to open the person record the note was made against, or to delete the note. Double click a note to update (edit) the note content, or mark it as ‘Completed’. 

Click the ‘Attachments’ button to view attachments to the note or add new attachments to a note. A note attachment can be any file type, a common choice is PDF. 

Click Export to Excel to create an excel worksheet listing all notes for the dates selected, or click ‘Refresh’ to display new notes just created.

Follow Ups Section

If a note has a follow up set, and the follow up date falls within the date range set in the ‘Follow Ups’ screen, then it will display here.

Right click a note to open the person record the note was made against, or to delete the note. Double click a note to update (edit) the note content, or mark it as ‘Completed’. 

Expand the date range for follow-ups to display by changing the ‘From’ and ‘To’ dates, or tick ‘Show only my notes’ to only see follow ups on notes created by you.

Again you can export to excel or add attachments to follow-ups. If a follow up action is performed, double click then tick the ‘Completed’ box then click ‘Update’ to indicate task completion.
